EVENT UPDATE
Ok guys. Just got out of the meeting with Parking Services. I've got good(ish) and bad news.
Good news is that the event on Sunday is not totally off. The bad new is that we have got A LOT to do before then. I'm in a bit of a time crunch so I will just give a general overview now. His main concerns were as follows: TIRE MARKS: both from people being idiots and from the actual event. He had pictures of the lots and of perimeter rd. with tire marks everywhere. It's hard to say which ones were from us and which ones were not, the bottom line is that he is not happy with the volume of tire marks in the lot. IDIOTS DRIVING THROUGH: He was not pleased with the conduct of some drivers, some participants and some not. This includes the way some drove through the lots and away from the event. CROWD CONTROL: He was not comfortable with how close people were getting to the track. Unfortunately someone spun out directly in front of him which has made him question the safety of autocross in general. SPEED ON COURSE: He was concerned at the rate of speed that people were moving on course. This is inevitable as it is a timed event, but we have got to do something. POLICE/EMS PRESENCE: He would like to see the presence of Police and EMS as assurance to attendees that we are serious about our events. Those were his main issues that he wanted to speak with us about. With that said at the beginning of the meeting he flat out told us he was not sure if it could ever happen again. After rationalizing with him a little bit I think he has come around a bit. However, he has a list of requests that must be met before we can proceed with the event on Sunday. Whether or not we want to do this we will have to discuss further. This is what we MUST do in order to have the event THIS Sunday ON campus: 1. He has requested the presence of at least 2 police officers, one for each end of the event. He would also like to have an ambulance on site. I have not looked into prices or anything yet so this may result in us having to raise the prices of our events. We may be able to work something out with the ambulance as the station is very close to the event. 2. He wants to speak with someone about risk management, I believe Linda Rice is the contact. 3. He wants a slower course, both for safety and damage to the lots. Zack, any ideas?? 4. We have got to keep people away from the track. I was sure to tell him that we wanted the lower lot for that specific reason. So the event MUST be in the lower lot and we must have workers assigned to keep people as far back as possible. 5. We have got to make it known that we are serious about kicking people out. Burnouts, doughnuts, driving to fast, leaving unnecessary tire marks etc. We can have no more tolerance to any of it. 6. We (as a club) must make an effort sometime between now and Sunday morning to do what we can about scrubbing up tire marks. So rally up the troops and let's get something done. I'm not even sure how to go about this or if it is possible but we have got to try. Those are basically the issues and what we have to do. Like I said, we must discuss further if this is even something we can afford to do. Ideas and opinions greatly appreciated. |

We have insurance, that should cover any reasonable risk management concerns. As far as people being near the course goes, we do have the caution tape that we used all last year. And Kat, you are right, EMS could not get much closer. Did you bring this up at the meeting?

As for EMS, I know they will come to an event if given notice for 'free' unless there is a call that they have to run elsewhere. Otherwise its a cost and is somewhat high I think to have 2 people sit in a bus all day.

Rental per officer (per Dave Carson) was around $150 per officer. Quite affordable in comparison to the rental of the Anderson lot.

I did. He said he wanted An ambulance on site as a visual. We will have to decide if raising prices and meeting his requirements are worth being on campus.

So i've been looking up how to get tire tracks off of asphalt and it doesn't look easy. Every where I look it keeps saying pressure washers! Or scrubbing with joy or dawn.
You think it has to be 2 Clemson officers? Because I know of 3 Anderson County cops that would probably come out if we tell them they can do a fun run or something. |

I can make the course tighter to slow people down and leave some more room between the edge of the course and visitor/work/outer edge of the lot. I can work on the best way to do all of that.

Yea getting marks off the pavement isn't gonna happen, sorry. That would involve an IMMENSE cleaning effort that just isn't feasible. Most of those tire marks are from normal commuter traffic going onto perimeter road. College kids like to peel out
![]() Crowd control I ABSOLUTELY agree with. People were way too close to the course and didn't listen when told to stand back. I was worried about that while I was working group 1. As for speed....LOLLLLLLLLLLL. Can't get much slower than what we already have. Just gotta make sure we don't have any long drag-like straights (secretly lolling that parking services decided the technical vs drag racing course arguement for us). I also think the EMS/police idea is fine. We shouldn't have to spend too much by using campus units. And I will be more than happy to help kick idiots out. I was raging every time they pulled out at the last event. Lastly, I agree the lower lot is ideal. But that means they have to work with us on getting people towed that decided to chill down there the day of the event. ![]()

Hopefully after this next autocross (if it does happen), with the course being so slow, etc, he'll realize that the EMS and two police is a little overkill and will relax a little bit.

I feel like if we are in the lower lot he will feel a lot better about it. As for tire marks, we may want to make an effort to show him that we want to stay on campus and that we are willing to cooperate with him.

If joy/dawn would work I have a good bit of that. I bought a bunch for my Chem Lab and never use it. I am slightly skeptical about using it to scrub the asphalt though.

Whatever we end up doing about the tire marks, we need to take pictures of the lot before we start and right before we leave. I know for a fact that someone turned donuts in one of the lots the night after one of our events last semester, and I know that looked bad. We know it wasn't us but nobody else does.
The autox this weekend will be the ultimate test... and as such I expect every member to put in full effort to make this the best-looking autox possible, and to press into every attendee the same. Please let us know when any of these things will be happening. Sam and I are down to help clean up the asphalt. As for people being too close to the course, I agree with all of that. Same with the idiots leaving.
It looks like I need to invest in a better zoom lens for my camera though. |

Steve has said in another thread, the event is canceled. If you bash parking services, the directors, our officers, or basically do anything counterproductive, here on other forums, on facebook, or anywhere else that we find out about, you're gone. This is the time for levelheadedness. I can guarantee you bashing won't get us anywhere.

Sorry guys. It looks like we will have to find a new venue. There is just no way we can meet all of his requirements by Sunday on our tight budget.
